Project Background
The Seas of Change Ethiopia project is a five-year initiative under SNV's Strategic Partnership umbrella programme. It focuses on the nexus of regenerative agriculture (RA) and productive use of renewable energy (PURE) in Ethiopia, Kenya, Rwanda, and Uganda. The project aims to:

  • Promote regenerative agriculture to restore ecosystems and increase productivity

  • Integrate renewable energy solutions into sustainable market systems

  • Drive systemic transformation through an innovative hybrid implementation model


Purpose of the Job
The Project Administrator will provide essential administrative, logistical, and contractual support for the effective implementation of the Seas of Change (SoC) Ethiopia project. This role combines both strategic thinking and hands-on execution.


Key Responsibilities

Administrative Support

  • Oversee daily administrative tasks including scheduling and correspondence

  • Maintain well-organized project files and documentation on SharePoint

  • Coordinate travel, meetings, and workshops

  • Prepare and distribute meeting agendas, minutes, and follow-up items

Management Assistance

  • Assist in planning, monitoring, and reporting project activities

  • Track deliverables, timelines, and budgets

  • Prepare reports, presentations, and communication materials

  • Act as liaison between the project team, partners, and stakeholders

Contractual and Financial Follow-Up

  • Track contractual obligations and milestone completion

  • Maintain a contract tracker with payment schedules

  • Support the preparation and review of contracts and partnership agreements

  • Assist the finance team with invoice processing and reporting

Logistics and Event Coordination

  • Plan and execute project events including trainings and stakeholder meetings

  • Handle logistics such as venue booking, catering, and materials preparation

  • Coordinate procurement of goods and services

Compliance and Documentation

  • Ensure compliance with SNV and donor policies

  • Maintain inventory of project equipment and assets

  • Support internal and external audits with documentation

Communication and Knowledge Management

  • Support both internal and external project communication

  • Maintain a centralized repository of project knowledge and documents

  • Help in documenting and sharing project results and success stories


Qualifications

  • Bachelor’s degree in Business Administration, Management, or related field

  • 6 to 7 years of experience in administration and contract management (preferably in an INGO setting)

  • Graduate-level training in business, development, or project management is a plus

  • Proven experience in donor-funded program environments
